Polywrapping is a fast and efficient way to enclose and mail brochures, catalogues or magazines. It is also cheaper and lighter than an equivalent paper envelope and so will save money when weight is an issue – both in terms of envelope cost and postage.

Our machines are equipped with online inkjet print capability direct on to the address carrier sheets or directly onto polythene, brochures or catalogues and thus provide a quick and low cost personalisation of your mail piece.

Our polywrapping service also allows:

  • A unique batch code to be printed to your catalogue, order or reply document. Addressee and auditing details are printed onto a separate address carrier or onto the polythene film
  • Clear or printed polythene. To enhance the appearance of your mailing, we can print any design you wish onto polythene
  • Add other items into the mail pack such as flyers and special promotional pieces.

Our envelope inserting service includes low cost and low sophistication options, and intelligent inserting options for transactional mailings. We also have a team of handworkers for non-machinable mailings.

We have 3 high speed envelope inserting lines and our capabilities include intelligent envelope inserting and selective envelope insertion. We can insert into DL to C4 sized envelopes and are able to insert letters, leaflets, brochures, catalogues, etc. into envelopes at high speeds keeping our prices competitive. Our envelope inserting capabilities include:

  • Up to six inserts
  • DL to C5 to C4 envelope sizes
  • Up to 10,000 per hour, selective inserting of primary document
  • Machine read marks to ensure 100% integrity
  • Windowed and non-windowed envelopes
  • Plain and printed envelopes

Often known as 'envelope stuffing', we have a team of people who work on envelope inserting jobs not suitable for machines. They work to ISO 9001 standards and provide an excellent option for low volume jobs and envelopes that cannot be processed by machine.

Our team will handle your postal returns quickly and accurately, keeping your database clean and up to date. Should any of the people to whom you send your mail no longer be available at the address you have, we will be notified and update your information accordingly, meaning that you save money on your next mailing with less waste. Any undelivered direct mail is returned to our Response Centre and we then work with you to update your database.

In addition, our Response Centre team is able to process response and order forms and provide relevant data from this capture, saving you time and cost of handling internally.

To maximise the accuracy of your campaign, and to keep within the law, databases must be regularly cleaned. We provide a host of cleaning services for you:-

  • Business Suppression File
    • The Business Suppression File (BSF) file is compiled by REaD and contains a list of businesses that are known to have either ceased trading or have moved from their current location. Most mailers complain about a lack of response. If you remove the records that would never reach their destination, then you will not only save costs but ultimately increase your response rates.
  • Deduplication
    • How many times have you received two identical mail pieces from the same company? The Database Manager removes duplicate entries from your data ensuring that addressee or company names which have been duplicated (even if the spelling differs between duplicated records) are highlighted. Deduplication can be done at various levels:
      • Household – one envelope per address
      • Surname – one envelope to a surname
      • Exact name – one envelope per person
      • Company – one envelope per company
  • Gone away
    • Databases can quickly become out of date because of the movement of people between properties. The Gone Away Suppression (GAS) file is compiled by The REaD Group and incorporates the vast majority of the UK’s home-mover information.
    • Most mailers complain about a lack of response. If you remove the records that would never reach their destination, then you will not only save costs but ultimately increase your response rates.
  • Mailsort
    • The Royal Mail and Downstream Access Providers (DSA) provides preferential pricing (up to 30% reduction) on bulk mailing if licensed users are able to accurately pre-sort large volumes of mail into postcode batches hence reducing the Royal Mail workload.
    • Discount is dependent on volume, weight, time-scale and also the accuracy of the postcode data.
  • Mortality
    • The most distressing thing a direct mailing can do is to mail to a person who is deceased. There are a number of things that can be done:
    • The Mortality File: The Mortascreen file, now the largest deceased suppression file available. The file includes a range of new data sources, including information previously directed to The Deceased Register. The file includes probate records, obituary notices, Royal Mail returns marked deceased plus data from freepost cards issued at local Register Offices.
    • Mortascreen Plus: Mortascreen Plus is a sub-set of the Mortascreen file collated by Smee & Ford from information supplied by the probate systems of England, Wales and Scotland. It is designed to identify only those deceased records for which guaranteed verification can be supplied.
    • The Bereavement Register (TBR): Compiled from information volunteered by the family and friends of recently deceased, The Bereavement Register is managed and distributed by the REaD Group.
  • National change of address file
    • Home movers are identified on the Royal Mail National Change of Address (NCOA) file. NCOA contains data as far back as 1993. It is updated monthly by the Royal Mail Redirection Service. It can be used to provide a forwarding address or a gone away flag.
  • National Suppression file
    • The National Suppression File (NSF) is regarded as the definitive resource for gone away data by the DMA. The data is sourced from the Royal Mail National Change of Address (NCOA) file, the Gone away Suppression File (GSF), Electoral Roll changes and credible postal return resources. The data helps reduce mailing inaccuracies by removing details of home movers and non-responders.
  • Postcode Address File (PAF)
    • Accurate names and addresses are essential to direct mail campaigns. Poorly targeted mail has a recognised annoyance factor and can undermine client perception of your brand. We check databases against PAF files to correct errors in address information.
    • The Postcode Address File, or PAF, is the most up-to-date database in the UK containing over 27 million addresses. PAF helps create and maintaining mailing-lists and databases, helping you to reduce the number of returned or undelivered items.
    • With PAF you can sort your mail with full and correct postcodes, which could help reduce your postage costs.

Our on screen marking service is ideal for medium sized Awarding Organisations who want to increase the efficiency of their exam marking whilst reducing the potential risks associated with exam delivery. 

 


SECURITY

Our entire business is built around ensuring the integrity, confidentiality and security of every exam script entrusted to us. To this end we have created a totally secure production environment, we adhere to proven processes and we employ the right people.

 

Secure client portal

Clients access the SCD examination portal via a secure, password protected customer portal. Individual access rights are agreed with every client. All documentation associated to the exam, such as exam scripts, are securely stored in this area.

Files can be sent securely to our hosted networks and are encrypted to secure the content.  Networks are segregated with firewall protection and as an additional layer of security the 'Scarborough Cloud' is hosted from our facility in Scarborough.

SCD is ISO 27001 accredited and regularly audited, recognising our systematic approach to managing confidential or sensitive information. Our systems are regularly tested through penetration tests conducted by a PCI approved scanning vendor and this serves to evaluate computer and network security by simulating an attack on a computer system or network from external and internal threats.

We also have a robust Business Continuity Plan working towards ISO 22301 compliance.

 

Secure storage and destruction of paper scripts

Ventress House is a 60,000 square foot facility that has been customised for security document production. We have: CCTV cameras, key fob access control throughout the site, monitored alarms, intrusion detection, reinforced walls, a secure vault area and secure loading bays and delivery area. There are no ground floor windows or opening windows on the upper floor.

Some exam scripts have to be kept for up to 12 months in a secure space. We provide the space, the security and on-site shredding service once the scripts are no longer required.

Our commitment to “no fail” and accuracy underpins the culture throughout SCD.Having the correct security culture and ethos within a company is central to our success. Robust vetting procedures ensure we have the right people in place and regular security awareness and training sessions keep everyone fully versed to current security issues and threats in the market place such as phishing and hacking threats and how to protect against these.

Our strict visitor policy includes restrictions on mobile devices, confidentiality agreements and a right to search policy.


FLEXIBLE MARKING

On screen marking makes marking simple, straightforward and efficient. We take paper scripts, scan these inhouse and convert them into electronic files. Markers simply log into the system and begin marking. Instead of pen, the marker uses a palette to select the mark. An intuitive drag and drop simplifies annotating, with predetermined comments such as “citation needed”. Markers can also add their own comments.  The system adds marks automatically to save time and avoid mis-calculations.

Our mobile marking feature allows busy markers to mark using multiple devices, giving them a more flexible marking solution.

Markers can:

  • Mark by candidate or question (side by side marking) or holistically. For example, more difficult questions can be allocated to more experienced markers
  • Mark long and short answer responses
  • Mark MCQ and EMQ (Extended Matching Question – similar to MCQ) from a scanned answer sheet
  • Mobile marking

Examiners often mark scripts from home. On screen marking allows for greater ease of distribution to them and they don’t have to worry about the logistics (waiting in for delivery, making sure return delivery is handled correctly).

 

Multiple markers

On screen marking allows multiple markers to mark at the same time. Impartiality is maintained as marks and annotations by an individual marker are only seen subject to the administration permissions given. For example, a Chief Examiner will be able to see all marks and annotations by each marker abut can also chose to mark a clean copy of the script rather than introduce bias. The Chief Examiner can then choose to see the markers detailed annotations and marks after they have assessed the script. The process is quick and highly effective.

 

Secure and accessible

SCD on screen marking is accessed via the Internet, providing markers with secure 24/7/365 access, regardless of location. Our multi-platform on screen marking system can be accessed with variety of browsers and different platforms including Mac OS X or Microsoft Windows.

 Platform security features include; secure password re-set, recovery and where required, single sign-on. This ensures that the system is kept secure at all times, but still has the flexibility markers require. 

 

MCQ and EMQ forms

We set, print and then scan the returned MCQ and EMQ forms into our marking system. The data can then be accessed by the Awarding Organisation who can use the captured data to analyse question performance. On screen marking is ideal for organisations wishing to grow MCQ tests without increasing internal resources.  


QUALITY CONTROL

 

Multiple marking and seeding

If required, multiple markers can access and mark scripts which are then automatically compared using agreed tolerances to reach a final mark. The system also highlights any marking discrepancies for further review.

To ensure an agreed standard is being met pre-marked scripts can be “seeded” into the marking process. These are compared with markers scoring to ensure that all scripts are being marked to the same standard.

 

Image and data quality

Our high tech, quality scanning and processing equipment ensures that the marker receives a clear representation of the candidates’ answers.

 

Audit trail

Our process is data driven, from cradle to grave. Should any unforeseen incidents manifest during the exam session then our thorough documentation tracking and workflow provides an audit trail for each and every exam paper.

 

Personalisation

The personalisation and indexing of scripts add a further layer of quality to the marking process. Completed exam scripts, which are pre-populated with a unique barcode, are returned to SCD where the paper is scanned, indexed and uploaded into our  on screen marking system. The marker therefore only has access anonymous scripts. Our indexing system provides confidentiality, impartiality and document integrity.

 

Page Integrity

We can account for every page we scan including every document spine removed. This high-level audit trail is fundamental in our workflow and ensures complete document integrity and traceability.

 

All in one secure place 

SCD’s end-to-end exam processing encompasses print, logistics, scanning and on screenmarking; all processes are completed inhouse, in one secure place. Keeping all processes inhouse gives us greater control over security and quality.

 

Automation

Increased automation reduces the risk of human error whilst also saving time. As a marker adds e-ticks to the script the marks are automatically added together.  There is no transcribing of marks onto mark sheets as data is entered directly into the system. Once marks have been agreed, these are exported to Awarding Bodies. Marks can be easily collated to assist decision making, such as grade boundary decisions. Automation eliminates errors of transcription and calculations and reduces time and cost of inputting whilst assisting in reducing the turnaround of the results process.


REPORTING & RESULTS MANAGEMENT

 

Grading

Data for reports can be more easily generated. for instance, annotations against a particular question can be extracted for Chief Examiner reports without the need for re-keying. Scripts for candidates who are on grade boundaries can be easily viewed for final grade assessment and grades can be automatically assigned to marked responses (in accordance with agreed grade boundaries).

The system can be opened up post-exam for candidate consultations, grading reviews, feedback more easily in line with current organisation practice. Enquiries about results (EAR) and appeals processes can be presented electronically more easily.

 

Management information

Our complete exam management platform provides extensive management information. Customised reporting allows our clients to drill down for more detail. 

 

Secure candidate portal

Candidate transparency is becoming increasingly important. Our secure portal is ideal for the retrieval of scripts, annotated scripts and breakdown of marks. Awarding Organisations can grant access to their candidates to a secure area to obtain personal information, therefore satisfying GDPR.
